Chamber ANNUAL MEETING June 5th 2008

NEW L&W Chamber Executive- a division of Suffolk Chamber of Commerce
Below you will find extracts from the new working arrangements however the document is for reference in full below as a donload
1) On a monthly basis and in a timely fashion once the accounts have been received by me I shall produce a monthly report for John Dugnore to present to the Suffolk Board and the Exec will all receive a copy.
2) George will take up his seat as a Board Director and will choose AN other to join him. I shall not be attending the Suffolk Board meetings unless requested to do so, otherwise my report should be sufficient. This will also save on costs with expenses incurred etc.
3) The Suffolk Chamber AGM is being held on 30th June at Trinity Park, so anyone who has not reserved a place and wishes to attend please contact Rowena on 01473 694805
4) Pre booked dates for 2008 and proposed dates for 2009 L&W Exec meetings

3. Responsibilities
3.1. The President of L&W will be responsible for managing the L&W Executive at local level, which will be elected at the L&W annual meeting. The L&W President and one other will sit on the SCoC’s Board and it is the responsibility of the Chief Officer to update the SCoC Board on L&W current and planned activity, by submitting a monthly report to the SCoC CEO.
3.2. L&W to continue their involvement in economic development issues, particularly those that relate to Great Yarmouth Businesses and the urban regeneration area working with 1st East.
3.3. L&W to be part of the local initiative The Waveney Economic Partnership to ensure a strong, responsive, and proactive forum to cover all issues to enhance local representation and lobbying.
Terms of Reference for Local Executive in Lowestoft & Waveney
1. The Business of the Lowestoft & Waveney Chamber of Commerce office shall be managed by the Chamber Chief Officer/Manager as identified within the Chambers Business Plan in accordance with Suffolk Chamber as outlined above.
2. The Executive shall consist of:
_ The President
_ Vice President
_ Deputy Vice President
_ Representative from education
_ Elected and nominated representative from The Chamber’s retail arm The Lowestoft town Management Partnership.
_ The Chairs of such sectors as the Executive deem appropriate – Transport and Infrastructure etc.
_ SCoC CEO and SCoC President
_ Such additional members who may be co-opted by the Executive, within the maximum number determined by the Executive of 8.
All of whom shall be members, or employees of SCoC and represent Lowestoft & Waveney Chamber at the Annual Meeting.
3. The terms of office of the members of the Executive shall be:
_ In the case of the President 3 years holding office ex-Officio
_ The Vice and Deputy Presidents shall be annually, with a maximum term of 3-years to match that of the elected President
_ In the case of the remaining members of Executive as outlined, for the Presidents, as long as they hold that post and for the remaining members for a maximum of 3-years, with annual reviews if deemed appropriate by the Executive.
All subject to the said members being fully paid up members of the Suffolk Chamber of Commerce.
4. A quorum shall be 5.
5. Whenever a vacancy shall occur in the office of President or Vice/deputy Presidents the same shall be filled by the Exec from amongst its members, prior to election at the Annual Meeting.
6. The Executive shall meet at least four times every year. There will be at least ten days notice of each meeting.
7. The Exec may appoint such Committees of its members, as it may deem necessary.
